Look at the hotel through one guest’s stay
Imagine a guest arriving early, ordering dinner to the room and visiting the spa before checkout. Reception needs to know whether the room is ready. The restaurant needs the right room for the order. The final bill needs the charges from each service.
This is an illustrative stay, not a report from a customer. It highlights a common operational challenge: each department can complete its own task while information is still missing at the next step.
ScanPlz supports room bookings, front-desk operations, housekeeping statuses, restaurant and spa work, and charges on the guest’s folio. A folio is the record of charges attached to the stay. The business benefit to evaluate is how reliably those steps fit together for your team.
Give reception a clear room picture
ScanPlz supports room bookings with rate plans, holds and deposits, followed by check-in, room moves, stay extensions and checkout. Housekeeping states include clean, dirty, inspected, out of order and out of service.
These states give staff a shared way to describe room readiness. Reception can check the recorded state before assigning the room, and housekeeping has a clear update to make when the work is complete. The process depends on staff updating the state when the real room changes.
For the owner, this creates a more specific conversation than asking whether housekeeping is ‘done’. Which rooms are ready? Which need inspection? Why is a room unavailable? The system holds the operational record; your team agrees who is responsible for keeping it accurate.
Make room service easier to discover
A room QR code can open room service on the guest’s own phone, with no app installation or sign-in needed to browse. Guests see the current menu, and menu changes can be made without reprinting the code. Keep a phone or staff-assisted option available when a guest needs help.
The advantage is a current service menu at the place where the guest needs it. A photo, option or clear item description can answer questions before the guest calls reception. Staff can concentrate on handling the order and delivering the service.
Check the actual room context and ordering flow during setup. A code copied from another room is not a substitute for assigning and testing the correct room code. Staff also need reliable connectivity and clear responsibility for the service requests they receive.
Bring supported charges onto the room folio
Restaurant, bar, spa and minibar charges can be posted to the room folio in ScanPlz. This connects those services to the stay and gives reception a shared place to review the guest’s charges before checkout.
This is the workflow to prove in a demonstration: place the order, post the charge and find it from the front desk. Confirm how your team handles a room move, a correction and a split bill as well. That makes the decision about a complete service process, rather than a screenshot of a dashboard.
Staff record payments today, and booking deposits are paid at the desk under the current workflow. Discuss any required online payment or external booking-channel integration separately before planning a move.
Connect guest feedback to a place and an action
Feedback can be tagged to its room or configured area. A comment about cleanliness or room service then has useful context for the team. Assign someone to read it, check what happened and record the next action.
Seasonal offers, packages, coupons and loyalty can support a reason for guests to return. Choose offers that suit the property and review their cost. Communications to previous guests should follow their recorded consent.
The business change comes from following through: the next shift knows about the issue, the responsible team makes a correction, and the owner can review whether the same theme returns. Collecting a rating alone cannot do that work.
Choose a manageable first step
The ScanPlz team helps set up rooms, rate plans and menus. You can begin with a defined service such as the restaurant or room service before moving front-desk operations. Bookings already taken in the current system finish there under the documented migration approach; new bookings go into ScanPlz.
Agree which system owns room availability during any transition. Explain the handoff to reception and service staff, and test it before accepting live work through both processes.
- Check whether reception can establish room readiness from the recorded status.
- Follow a sample service charge from the order through to the correct room bill.
- Record checkout corrections or missing information that require another department’s help.
- Review feedback themes and whether a responsible team member completed the action.
Start with a baseline from your own property and compare similar periods. Keep the parts that help staff deliver a more consistent stay, and resolve the awkward handoffs before expanding the rollout.
