A full appointment book still needs coordination
Picture a salon with two practitioners, a long treatment in progress and a customer asking to walk in. A name written in an empty space on a calendar does not tell reception whether the right practitioner has enough time, whether a cleanup buffer is needed or whether a later appointment will be affected.
This is an illustrative working day, not a customer success story. It shows why booking organization matters even when the business already has demand. The owner needs appointments the team can actually deliver, and customers need a clear understanding of what will happen next.
ScanPlz works with practitioner hours, leave, service duration and buffers. It also supports arrivals, customer appointment requests and a walk-in queue. Those records give reception and practitioners a shared starting point for the day.
Build availability around the work
The appointment setup includes each practitioner’s weekly hours, leave and extra sessions. Services can have a duration, time before or after the appointment and a minimum notice requirement. Available slots are calculated from those settings, and conflicting practitioner bookings are blocked.
For example, a treatment that takes an hour and needs cleanup time should occupy more than an hour of the practitioner’s schedule. Keeping those settings accurate helps reception offer a slot that reflects the real work instead of promising a start time the team cannot meet.
You can use staff-confirmed bookings or instant confirmation where appropriate. The current rescheduling rules restrict guest changes inside the configured notice period; staff can override with a reason. Agree who handles exceptions so the team can explain changes consistently.
See appointments and walk-ins in context
The value to assess is the quality of that coordination. Can the person at reception see enough to make a good decision? Does the practitioner know what is next? Can the owner see where an exception was made? Software provides the record, while staff still make and communicate the service decisions.
Make services and prices easier to explain
A ScanPlz QR code can open the salon’s service and price list in the customer’s browser. The list can include photos, options and add-ons, and it can be updated while the printed code remains in place. Customers do not need to install an app or sign in to browse.
This gives reception a current reference when discussing a treatment or an add-on. Make the difference between services clear, explain any conditions affecting the final price and check that the service booked matches what the customer expects.
Staff record payment at the desk. The supported payment records include cash, card and familiar Nepal payment methods such as eSewa, Khalti and Fonepay, along with store credit and credit accounts where used. Tips and the cash close can be recorded separately from the service discussion.
Give customers a clear reason to return
Good service creates the reason to return; a clear follow-up makes the next step easier to understand. ScanPlz supports recurring appointments, loyalty stamp cards, points and tiers, as well as promotions, coupons and vouchers.
Choose a reward or recurring-booking approach that fits the service. Explain eligibility, expiry and any conditions in plain language. Staff should be able to check what the customer is entitled to and what they need to do next.
Feedback can help you understand why an appointment went well or where expectations were missed. Read the comment as well as the rating, assign a follow-up action and respond when the customer requested contact. Send marketing messages only to customers who agreed to receive them.
Measure actual return visits and reward use using the records available to you. A customer joining a loyalty programme is an early step; their later experience determines whether it becomes a useful habit.
Test one practitioner’s day before expanding
The ScanPlz team helps set up services, practitioners and their hours. Begin with a manageable part of the schedule and test the situations reception handles regularly: a new booking, a late arrival, a walk-in, a practitioner’s leave and a change inside the notice period.
Appointments already recorded in your current system finish there under the documented migration approach; new appointments go into ScanPlz. Agree how staff check availability during the transition so a staged rollout does not create two competing schedules.
- Review how often reception has to correct an unsuitable booking or clarify availability.
- Record late starts and their causes, rather than assuming every delay is a scheduling problem.
- Check that booked services, prices and payment records agree.
- Review customer comments, completed follow-up and repeat visits over a suitable period for your services.
The aim is a day that your team can understand and manage more consistently. Use the trial to find which part of that change is valuable for your salon, then expand with a process the staff can explain.
